Employment Related Tax Forms

W-2

If you wish to receive an electronic copy of your W-2 instead of a paper copy, you will need to consent to receiving an electronic copy through Webadvisor. View instructions for performing this task.

A W-2 is a form that the IRS requires that employers issue to report wage and salary information for employees. A W-2 also reports the amount of federal, state, and other taxes withheld from your paycheck from January 1 to December 31 of each calendar year. This form is used to file your taxes.

All University employees who receive any salary, wage, or other compensation within a calendar year.

  • Current employees can consent to electronic delivery through Web Advisor. Once electronic delivery has been chosen, no paper forms will be produced. Once electronic delivery has been chosen, you continue to have access to current and historic W-2s unless you withdraw your consent. 
  • For employees who have not consented to electronic delivery, a paper copy of the W-2 will be forwarded via campus mail on January 31. 
  • All former University employees will receive a paper form delivered via first class U.S. mail to the most current address on file.

All forms are released by January 31.

Pre-tax benefits that are covered under IRC Section 125 are non-taxable for Social Security, Medicare, federal and state/city income tax purposes. 403(b) contributions are non-taxable for federal and state/city income tax purposes only. 

The following are common reasons that the amounts reported in Boxes 1, 3, and 5 may differ:

  • 403(b) before tax contributions are tax deferred for federal and state/city income tax purposes, and therefore, are not included in the amounts reports as federal taxable wages and state taxable wages. These amounts are, however, reported as Social Security and Medicare wages. Therefore, you will see a larger amount reported in Social Security and Medicare wages than in state/city and federal taxable wages.
  • Social Security wages are limited to $113,700 for the calendar year 2013.

Payroll will correct and reissue your W-2. Corrected W-2s are called W-2cs and are processed until February 28. If you find your name and/or Social Security number is incorrect, please contact Tax Forms as quickly as possible. You will be contacted when the correct W-2c is available for you.

If the wrong address is listed on your W-2, a corrected copy will not be created or distributed. Please update your address information in CedarInfo.

Employees can either consent to electronic viewing of the document via Web Advisor or contact Tax Forms to request a duplicate copy.

No, due to the Privacy Act of 1974, only current or former employees can request a copy of their W-2.

Student Related Tax Forms

Students can receive, in addition to employment related tax forms, 1098-T for tuition payments and 1099-INT for the Prepayment Incentive Credit (PIC) Plan. Currently, the 1099-INT is distributed by paper copies only.

The 1098-T is a form designed by the Internal Revenue Service (IRS) for educational institutions to report qualified tuition, fees, scholarships, and grants. These forms are to be used when completing individual federal tax returns and are not to be taken as tax advice.

All students enrolled in Cedarville the previous calendar year.

  • Current and former students who consent to electronic delivery through Web Advisor can access all 1098-T documents electronically and no paper forms will be sent. Once electronic delivery is chosen, you continue to have access to current and historic W-2s unless you withdraw your consent. 
  • Current students who have removed the Family Educational Rights and Privacy Act (FERPA) privacy indicator on their account and have not consented to electronic delivery will have a paper copy forwarded to their campus mailbox. 
  • Currently enrolled students who have not removed the Family Educational Rights and Privacy Act (FERPA) privacy indicator on their account and have not consented to electronic delivery will have a paper copy forwarded to their campus mailbox. 
  • Former students who did not consent to electronic delivery will have a paper form sent through first class U.S. mail to the most current address on file.

All forms are released by January 31.

Box 1 will be blank for all Cedarville University students. The IRS requires all educational institutions to select a reporting method and Cedarville has chosen to list all amounts billed for qualified tuition and related expenses in Box 2.

Please Note: Due to the reporting method Cedarville University has chosen, all tuition expenses are reported as to the calendar date they were billed and all payments are reported as to the calendar date they were received.

Eligible or qualified charges are any tuition charges plus the student activity fees, laboratory fees, graduation fees, and enrollment fees. All other charges to your student account, including room and board, are not considered eligible charges.

Box 5, Scholarships and Grants, shows the net amount of certain forms of educational assistance that was received or applied to your student account between January 1 and December 31 of each calendar year, regardless of the term that funds may have originally be designated for.

If you find your name and/or Social Security number are incorrect, please contact Tax Forms as quickly as possible. A corrected form will need to be processed and you will be contacted when it is available to you.

1099-INT

Form 1099 INT reports interest earned from a student's account during a calendar year.

All students who received more than $10 Prepayment Incentive Credit (PIC) plan interest from their student account balance during the previous calendar year.

  • Current students who have removed the Family Educational Rights and Privacy Act (FERPA) privacy indicator on their account will have a paper copy forwarded to their campus mailbox.
  • Currently enrolled students who have not removed the Family Educational Rights and Privacy Act (FERPA) privacy indicator on their account will have a paper copy forwarded to their campus mailbox. 
  • Former students will have a paper form sent through first class U.S. mail to the most current address on file.
