Cedarville University Student Personnel – Job Description Position Title: Secretarial Assistant Department: Alumni Relations Division: Advancement FSLA Designation: Part-time/Student Position Reports to: Alumni Administrative Assistant Position Summary This position provides secretarial assistance to the Administrative Assistant. Responsibilities 1. Phones – answer phones, take accurate information, transfer calls, and respond to requests while using professional telephone skills 2. Alumni Information Updates – oversee distribution of alumni information to staff and database 3. Office – manage appearance and organization 4. Mailings – assist with labeling, stuffing envelopes, organizing, and executing mailings for alumni 5. Register alumni for events 6. Perform related duties as required Qualifications & Required Mental/Physical Abilities 1. Previous office experience 2. Professionalism 3. Ability to use computer and computer programs: Microsoft Office suite, e-mail, CedarNet. 4. Strong knowledge of word processing, including merge features 5. Strong keyboarding skills 6. Ability to receive & give information through oral communication 7. High attention to detail and accuracy 8. Ability to maintain confidentiality 9. Summer Event Intern

Position Summary This position provides administrative support to the Coordinator for Regional Events & Services of Alumni Relations. The summer event intern represents alumni relations in a positive manner to alumni of Cedarville University through assisting with required work. This position assists with the detail work necessary to promote positive relations between the University and alumni. Essential Functions 1. Phones: Venue research calls, invitation phone calls, answer phones, take accurate information, transfer calls, and respond to requests while using professional telephone skills 2. Supply Management: Maintain & organize a sufficient supply of necessary event items 3. Mailings: Assist with mailings, e-mailing alumni chapters & regions 4. Event preparation: Communicate with all involved parties, organize/assign duties at events, maintain attendee list, register event attendees, etc. 5. Event follow-up: Survey attendees and volunteers, oversee coding, update budget, etc. 6. Daily Routine: mail, filing, correspondence, prayer requests 7. Assist the Coordinator for Regional Events & Services as needed. 8. Perform related duties as required.
