Faculty Reserve forms

Reserve items may be done two different ways:
- ERes (Electronic Reserve)
- Paper/book(s) and AVs at the Circulation Desk
ERes (Electronic Reserve)
ERes, an electronic reserve program, will allow students and faculty to access course reserves 24 hours a day. The materials will be accessible both on and off campus to Cedarville University faculty and students. In most cases, material will be password protected to limit access to those individuals enrolled in the class.
What Can Be Placed on ERes
A wide variety of materials may be placed on ERes. These can include articles, book chapters, class syllabi, homework problems, worksheets, assignments and lecture notes. Links to internet sites and faculty web sites can also be added.
How to submit Materials for ERes
- Complete Reserve form (available at the Circulation Desk or the link above)
- submit form and materials to the Circulation Desk (a form is necessary even if material is submitted electronically)
- Please allow a week for processing. Materials will be processed in the order they are received. You will be notified when materials are available.
Materials may be submitted in several different formats. Electronic files are most easily placed into the ERes program. Electronic files and images in commonly recognized file formats (such as Word ".doc," text ".txt," HTML ".htm," or JPEG ".jpg") may be submitted. Electronic files may be e-mailed as attachments to reserves@cedarville.edu, or may be submitted on diskette. Printed documents which are received will be scanned and processed.
Printed documents that need to be scanned work best when they meet the following requirements:
- Clean, first generation copies
- No more than 20 pages per document (the longer the document - the longer it takes to load)
- 8 1/2 x 11 paper with at least 1/2 inch margin on all four sides
- Single-sided copy
- No holes or staples (paper clips would be preferred)
How to Access an ERes Document
ERes can be accessed by clicking on the blue ERes button on the library web page. Once in ERes, users may search using the professor's name or department to locate course materials. In accordance with copyright regulations, most documents will be password protected. The password assigned to each class will be provided to the professors so that they may communicate it to the students in the classes.
Additional options
ERes provides a wide variety of possibilities for class pages and the information that can be placed on them. It also enables professors to have some control over their class page by adding documents and announcements as needed. If you have any interest in these additional options, call the Circulation Desk (7840) or e-mail reserves@cedarville.edu and we will provide you with the necessary information.
Paper/Book(s) and Audiovisual Reserve
Professors who wish to place audiovisuals, papers or books on traditional reserve at the Circulation Desk still have that option. The professor determines the type of reserve:
| Strict reserve | - these materials do not leave the Library |
| Overnight reserve | - may be checked out one-half hour before closing and must be returned by 8:15 the following morning |
| One day reserve | - may be checked out any time one day and returned any time the following day |
| Three day reserve | - may be checked out any time one day and returned three days later. |
How to Place Materials on Reserve at the Circulation Desk
- Complete the Reserve form (available at the Circulation Desk or the link above)
- Bring materials and reserve form to the Circulation Desk in the library
- Please allow a week for processing. Materials will be processed in the order they are received. You will be notified when materials are available.
Students must have a valid Cedarville University ID to use these reserve materials.
Copyright and Fair Use
In an effort to better abide by copyright guidelines as they apply to reserves, we ask you to use the following criteria when determining if "fair use" applies to your photocopied materials.
- The purpose and character of the use, including whether such use if of a commercial nature or is for nonprofit education purposes
- The nature of the copyrighted work
- The amount and substantiality of the portion used in relation to the copyrighted work as a whole
- The effect of the use upon the potential market for or value of the copyrighted work
Copied materials can typically be placed on reserve under the "fair use" guidelines for one semester. (Title 17 USCS secs 107) To place copyrighted material on reserve for additional semesters, we will need to obtain permission from the copyright holder.
The university's policy on copyrighted material can be found in the faculty handbook on page 65.
In cases of placing students' papers on reserve, we recommend that you receive written permission from the student. A Student Permission form (PDF) is available for you to use.
