Create GroupWise E-Mail Templates

Suppose you have an e-mail that you send out on a regular basis, but only certain parts of the e-mail change (i.e., date sent, recipients). You can essentially create a template in GroupWise to save this e-mail so that it can easily be used over and over again.

For example, 2 days before my computer classes, I send out a reminder e-mail. The text is identical each time, except for the course name, date, time, and possibly the room number. I have saved this document as a template so I don't have to retype it once or twice a week when it is time to send a reminder. Does this sound like something you could use? Here's how to do it:

Create an e-mail template

  1. Create your e-mail (but don't send it!).
  2. While the e-mail is still open, select "File" > "Save view."
  3. Navigate to your desktop from the drop-down menu.  (This is the recommended place to save your templates.)
  4. Give the template a name and use the extension ".vew" (for example: StudentLetter.vew).
  5. Click [Save] and exit the e-mail without sending it.  (You do not need to save the changes in a GroupWise folder if you have saved it to your desktop.)
  6. If your template does not automatically display on the desktop, right-click on your desktop and choose "Refresh."  You should now see your template on the desktop.
     

To use the template

  1. Double-click to open the template.
  2. Fill in any information that has changed.
  3. Enter your recipients' e-mail addresses and click "Send."
  4. Close the template.  It will still be on your desktop for the next time you need to use it.
