Google Apps: Instructions for Mobile Devices

Part I: Set up your Google Account for 2-step Verification

The first part of this process begins on the computer. Start by logging in to your Cedarville Google Apps account (cedarville.edu/google).

  1. In the Mail window, click in the upper right corner on whichever of the following options displays (your email address, your photo, or the light blue default avatar Google Avatar ).
  2. Click the "Account" link.
  3. Select the "Security" tab at the top of the screen.
  4. If you have previously set up 2-step verification, then select "Setup" to the right of 2-step verification under the password heading and skip to step 14
  5. If you have not previously set up 2-step verification, then select "Setup" to the right of 2-step verification under the "Password" heading.
  6. Select the large blue [Start setup] button.
  7. Google will generate a verification code and send it to you either by voice call or text. Enter a phone number (can be your cell, office phone, or home phone, depending on what is available) and select whether you would like a text or a voice call to come to that number. Note that the number you enter will become associated with your account, so you should not use a number that you will not have access to in the future.
  8. Click [Send code].
  9. Enter the verification code you received by text or call in the appropriate field. 
  10. Click [Verify].
  11. If you are on your office or personal computer, check the box to "Trust this computer" and click [Next].
  12. Confirm that you want to turn on 2-step verification by clicking [Confirm].
  13. You will then be navigated to the 2-step verification page. 
  14. Select "App-specific passwords" (the second tab at the top of the page).
  15. Select "Manage application-specific passwords" towards the bottom of the page. 
  16. You may be prompted to provide a backup phone number, you can skip this step by selecting "Remind me later" at the bottom of the page. 
  17. In the field below, enter a name that will help you identify your device (Ex. "HTC Android" or "My Phone" or "iPad 2") and click "Generate Password." Google will generate a randomized, 16-digit password for you. You'll need this password in Part II. Do NOT click [Done] yet. 
  18. Follow the instructions in Part II to set up the device. Once you are finished, you can easily set up an additional device-specific password for another device by clicking “Generate Password” again. Each password can only be used for one device.

Part II: iOS (iPad, iPhone, iPod Touch) Device Set Up

There are two options with the iOS device, both with their own pros and cons.

Note:

Before you complete one of these options, ensure that you connect your device to the "cu_secure" wireless network and then manually register your iOS device.

Option 1 - Exchange Setup (Recommended):

Using this setup, you will be able to see your contacts, email, and calendar even without an Internet (Wi-Fi or 3G) connection. However, you won’t be able to receive or send emails or see any updates to your calendar until your device connects to the Internet (Wi-Fi or 3G) again.

  1. On your device, go to “Settings.”
  2. Go to “Mail, Contacts, and Calendars.”
  3. Touch [Add Account].
  4. Select “Microsoft Exchange” from the list. The Gmail option would work, but it would not synchronize your contacts.
  5. The device will present you with a few fields to fill in. Enter your entire Cedarville email address in the following two fields:
    • Email
    • Username
  6. Enter the generated password from Part I under “Password.”
  7. Leave the “Domain” blank.
  8. Enter a descriptive name in the “Description” field. This is the name that you will see for the account. You may want to include “exchange” in the name.
  9. Touch [Next].
  10. A “Server” field will appear. Enter “m.google.com” (without quotation marks) as the server.
  11. Touch [Next].
  12. The iOS device will verify your information and then present you with a page of options to choose to synchronize.
  13. Touch [Save] to complete the process. The synchronization should begin, and you should begin to receive email within a few minutes.

Note:

If your phone does not begin to synchronize, check to make sure that your device is connected to the Internet. Your device must be connected to the Internet before it can sync.

To sync shared calendars with your iOS device through the Exchange setup, open Safari on your device and go to https://m.google.com/sync/settings/iconfig/chooseCalendars. Choose which calendars you would like to sync.

To make sure that your calendars and contacts sync to your device, follow these steps:

  1. Touch “Settings.”
  2. Touch “Mail, Contacts, Contacts” on the left-hand side of the screen.
  3. Touch the name of the exchange account.
  4. Make sure that “Calendar” and “Contacts” are marked as “ON.” If they are not, touch the “OFF” button so that it turns to “ON.”
  5. Touch [Done] when you are finished.

Warning

If you have made a mistake in following any step in Part II and now no matter what you do the instructions above won’t work, you may have locked out your account by trying too often with the wrong settings. To fix this problem, you’ll need to go to the following URL and follow the instructions there: https://accounts.google.com/unlockcaptcha. This will unlock your account for ten minutes during which you can try again to set up your account. If you successfully set up the account, it will remain unlocked. If you fail to set up your account in the allotted time, you can repeat this step to unlock your account for an additional 10 minutes.

Note:

By default, iOS devices will only sync email from the last three days. To increase the available days, go to Settings > Mail, Contacts, and Calendars. Under “Accounts,” touch your exchange connection. In the new window, touch “Mail Days to Sync.” Choose the number of days (up to 1 month, or “No Limit” on iPad and iPhone). Touch the back arrow and then touch [Done].

Option 2 - iOS Google App:

From the app’s homepage, you will be able to access all the Google Apps, including Google Drive, but only while you are connected to the Internet. You will not be able to use the app at all while you are not connected to the Internet (3G and Wi-Fi).

The “Gmail” app setup is identical to the “Google” app setup, but it does not allow you to access your Calendar, Drive, or any of the other Google services that are available through the “Google” app.

  1. On your device, touch “App Store.”
  2. Search for “Google.”
  3. Install the Google app from the Apple App Store.
  4. Open the Google app once it has been installed, and enter your email (including @cedarville.edu) and password to log in.
  5. Click [Continue] and Google will redirect you to the Cedarville Google Mail login page.
  6. Log in with your CedarNet username and password and you will be directed again, this time back to Google.

Part II: Android Device Set Up

  1. On your device, go to "Settings.
  2. In the settings menu, go to "Accounts and Sync."
  3. Touch [Add Account].
  4. From the list, select "Google" or "Gmail."
  5. Touch "Existing" or "Sign in" under "Already have a Google Account?"
  6. Enter your Cedarville email address (including @cedarville.edu).
  7. In the Password field, enter the password that Google generated for you in Part I.
  8. Touch "Sign In."
  9. The sign-in process might take a few minutes, but soon a screen will appearwith a list of everything that will sync to your Android device. Choose what you think you'd like to be available. You can always edit these settings from Settings>Accounts and Sync>Cedarville Google account on your device.
  10. In a few minutes, you should begin to receive email and calendar events synchronized to your phone or tablet.

Note:

If your phone or tablet does not begin to synchronize, check to make sure that your device is connected to the Internet by using your device's mobile browser to navigate to a website outside of Cedarville's network. The synchronization will not work if your device is not connected to the Internet.

Cedarville Google Apps offers some additional services for Android devices, like the ability to find your device if you lose it, the ability to completely wipe the device remotely, and the ability to make the device ring, all from inside your browser.

Follow the instructions below to activate these services on your device after you have completed the above instructions:

  1. On you android device, sign in to the Google Play Store and search for “Device Policy.”
  2. Install the Google Apps Device Policy app.
  3. Open the app once it is installed. Your Cedarville email address should be displayed at the top of the screen. If it is not, select it from the drop-down arrow.
  4. Touch [Next].
  5. Touch [Allow] and then [Activate].
  6. The device will warn you of the policies that you are about to activate. Touch [Enforce].
  7. The device will talk to Google’s servers, and you’ll get confirmation that it is working or that the device was successfully synced.
  8. You can now access these options on your computer by opening a browser and navigating to http://www.google.com/apps/mydevices.

Part II: Windows Phone 7.5 Device Set Up

  1. Make sure your Windows phone is booted up and then navigate to “Settings.”
  2. Find “email+accounts” and touch to open the accounts list.
  3. Touch “add an account.”
  4. At the bottom of the page, touch “advanced setup.”
  5. Enter your entire Cedarville email address (including @cedarville.edu) and the 16-character password from Part I. Touch [Next].
  6. Touch Exchange ActiveSync.”
  7. Under “Username” enter your entire Cedarville email address (including @cedarville.edu).
  8. Under “Domain” enter “Cedarville.edu.”
  9. Under “Server” enter “m.google.com.”
  10. Ensure that “Server requires SSL connection” is checked.
  11. Touch [Sign In].

Your email should start to download in a few minutes.

Note:

If your phone or tablet does not begin to synchronize, check to make sure that your device is connected to the Internet by using your device's mobile browser to navigate to a website outside of Cedarville's network. The synchronization will not work if your device is not connected to the Internet.
