GroupWise: Save Old Email Messages and Address Books

Before you start…

You may be a recent graduate switching to an E-Mail For Life account (or another e-mail account), or you may simply want to save your old e-mails and address books. The following instructions explain how to save old e-mails and address books depending on where or what you would like to save them to.

Save E-Mail Messages to a USB Drive

  1. Plug the USB drive into a USB port.
  2. Open GroupWise.
  3. Click to highlight the message to be saved. To save multiple emails, hold down the [Ctrl] key and select each email to be saved.
  4. Right click > Select "Save as."
  5. In the "Items to save" box, click to highlight each message to be saved.
  6. Select [Browse] > Navigate to "My Computer" > Select your USB disk(drive:).
  7. Click [Make New Folder] > Type a name for the folder.
  8. Click [OK] > [Save] > [Close].

Save E-Mail Messages to a CD-ROM

  1. Insert your CD.
  2. Open GroupWise.
  3. Cllck to highlight the message to be saved. To save multiple emails, hold down the [Ctrl] key and select each e-mail to be saved.
  4. Right-click > Select "Save as."
  5. In the "Items to save" box, click to highlight each message to be saved.
  6. Click [Browse] > "My Computer" > DVD-RW drive (D:).
  7. Select [Make New Folder] > Type a name for the folder.
  8. Click [OK] > [Save] > [Close].
  9. Select the green [Start] button > "My Computer" > DVD-RW Drive (D:).
  10. In "CD Writing Task," click "Write these files to CD."

Save Multiple E-Mail Messages Located in Multiple Folders

  1. Open GroupWise.
  2. Select “Tools” > “Find….”
  3. Select the “Find” tab > Uncheck “(your name) Home.”
  4. Uncheck “All Libraries” (if that option is present).
  5. Click on the “+” icon next to “(your name) Home.”
  6. Click on the “+” icon next to “Cabinet.”
  7. Click to check each folder that contain emails you wish to save.
  8. Click [OK].
  9. Click to highlight each email you wish to save.
  10. Right click > Select “Save As...”
  11. Click [Browse] > "My Computer" > DVD-RW drive (D:).
  12. Select [Make New Folder] > Type a name for the folder.
  13. Click [OK] > [Save] > [Close].
  14. Select the green [Start] button > "My Computer" > DVD-RW Drive (D:).
  15. In "CD Writing Task," click "Write these files to CD."

Save a GroupWise Address Book

  1. Open GroupWise.
  2. Select [Address Book] from the top menu bar.
  3. Select the group to be saved from the left panel.
  4. Select each contact to be saved (press [Ctrl] + click to select multiple contacts).
  5. Right click > Select “Export.”
  6. Navigate to a location to save the file > Enter a file name.
  7. Save as type: Comma Separated (*.csv)
  8. Click [Save].
  9. Navigate to the saved file > Right-click > Select “Open with…” > Select “Excel” from the list of programs.
  10. Save file to a CD or flash drive.
