Groupwise: Address Books: GroupWise Contacts Features

Before you start…

Groupwise lets you use the “Contacts” tab to keep all the information you need on certain people or groups in one place. To start, you’ll need to make sure that you’re using your own address book, not Frequent Contacts. To do so,

  1. Right-click on the “Contacts” tab > Select “Properties.”
  2. From the “Address Book” field, select the drop-down menu.
  3. If it is not selected, click on your name.

This will make your own address book default when you click on the Contacts tab. You will need to populate your address book with all the contacts you need. You can bring them in from the GroupWise address book.

  1. Click [Address Book] on the top left of the GroupWise window.
  2. From the data tree on the left, select the “Novell GroupWise Address Book” (should be the top option). This will display all campus email addresses.
  3. Search for the names you would like in your address book with the “Look for:” bar.
  4. Once you’ve found a name, drag and drop it from the list into your address book in the data tree on the left.
  5. Repeat this until you’ve populated your address book with all the necessary names.

Details

With this feature, you can add custom information on a contact, e.g., birthdays, department. To access a contact’s details,

  1. Click the “Contacts” tab > Double-click on the name of the contact (not the e-mail address).
  2. A dialog box with all information on this contact will open.
  3. Select the “Details” tab on the left of the box.
  4. Add any information you like to the present fields.
  5. If you want the contacts birthday to show in your calendar, add in their birthdate, then click the button next to it that has a calendar with an arrow. This creates a yearly recurring item in your calendar on their birthday.
  6. When you are done adding details, close the box by clicking the red X in the top right of the box > Click [Yes] from the dialog box that appears asking if you want to save your changes.

History

With this feature, you can see your entire history with this contact on GroupWise: emails, appointments, tasks, etc. in a list. This does NOT include any deleted or archived items. To view your history,

  1. Click the “Contacts” tab > Double-click on the name of the contact (not the email address).
  2. A dialog box with all information on this contact will open.
  3. Select the “History” tab on the right, next to “Notes.”
  4. By default, the list will display how your mail displays. To display with latest date at the top, click the “Date” header so that the arrow points down.
  5. If you want to read any of the items, double-click it from the list.

Notes

With this feature, you can add notes to a contact, e.g., reminders of conversations. These notes are only visible to you. To create a new note,

  1. Click the “Contacts” tab > Double-click on the name of the contact (not the email address).
  2. A dialog box with all information on this contact will open.
  3. Make sure that the “Notes” tab is selected on the right. It may be selected by default.
  4. Click in the box that says . Once you click in the box, it will expand and you can begin to type.
  5. Once you are done typing, click [Save]. The note will save with a time stamp.
