Outlook: Create and Manage Tasks

Before you start...

In Microsoft Outlook, you can create tasks to keep track of things you need to do. These tasks can be assigned to other people, put on the calendar with a deadline, or simply kept in the task list for you to keep track of.

Create a new task

  1. Click on the Tasks shortcut at the bottom of the navigation pane.
  2. In the "New" group in the ribbon, click "New Task."
  3. Enter a name for the task in the "Subject" line.
  4. Select a start date and due date if you want to mark when you will begin the task and when you want to complete the task.
  5. If you would like Outlook to send you reminders for the task, check the box next to "Reminder" and select the date and time you would like Outlook to send you a reminder. You can also select a sound you would like Outlook to play when it sends you the reminder.
  6. Enter any details about the task in the text area below.
  7. When you are finished, click "Save & Close" in the "Task" tab.

Edit an existing task

  1. Click the Tasks shortcut at the bottom of the navigation pane.
  2. Select "Tasks."
  3. Select the task you want to edit from the list. Double-click to open it.
  4. Make the changes you wish.
  5. Click "Save & Close" when you are finished.

Assign a task

  1. Open a new task. Complete the task information as desired.
  2. In the "Manage Task" group, click "Assign Task."
  3. Enter the email address of the person you want to assign the task to.
  4. Click [Send].

Complete a task

To mark a task as completed:

  1. Go to the Task list by clicking on the "Tasks" shortcut in the navigation pane.
  2. Click on your Task list.
  3. In the list of tasks, click the check mark next to the task you wish to mark as complete.

OR:

  1. Go to the Task list.
  2. Double-click on the task to open it.
  3. Click "Mark Complete" in the "Show" group.

Delete a task

You can clean up your task list by deleting completed tasks. To delete a task:

  1. Go to the Task list.
  2. Select the task you want to delete.
  3. Click the "Delete" option in the ribbon.
