Print Guidelines for PowerPoint Slides
Printing Instructions
The following are instructions on how to print PowerPoint slides 6 per page in grayscale to reduce printing costs:
- Open the PowerPoint presentation.
- Click the [Microsoft Office Button]
> Choose "Print."
- A "Print" dialog box will open.
- In the lower third of the dialog box, locate the drop-down list under "Print what:" > Click the down arrow and choose "Handouts."
- Move to the "Handouts" section on the same screen > Under "Slides per page," choose "6."
- Under "Print what:," locate the "Color/grayscale" drop-down list > Choose "Grayscale."
- Click [OK].
Printing Guidelines
You can help us be good stewards of our computer resources by adhering to the following guidelines:
- Print PowerPoint slides using the "handout" option (6 slides to a page - see above for instructions).
- Print PowerPoint slides using the "grayscale" option.
Printing colored backgrounds on a non-color printer uses excessive toner with no appreciable benefit to the user.
- Do not keep resending print jobs if you are in a computer lab or classroom. Be patient. (Resending the job just fills up the printer queue and makes everybody have to wait longer)
- Utilize the on-campus Print Services for printing multiple copies of one item (e.g., surveys).
Printing Costs

The cost to print a PowerPoint File of 24 slides on a monochrome (black/white) laser printer is as follows:
- Dark background, one slide per page - $24.00
- Dark background, six slides per page - $4.00
- Empty background, one slide per page - $1.20
- Empty background, six slides per page, $0.20
Currently, students are not charged directly for this printing, but the expense is eventually reflected in tuition. Reduce printing waste and print only what is necessary as well as follow the above instructions when printing PowerPoints or the instructions for Printing PDF Documents.
