W-2

What is a W-2?

A W-2 is a form that the IRS requires employers to issue, reporting taxable wage information for employees. A W-2 also reports the amount of federal, state, and other taxes withheld from your paycheck from January 1 to December 31 of each calendar year. This form is used to file your taxes.

Who receives this form?

All University employees who receive any salary, wage, or other compensation during a calendar year will receive a W-2.

How will this form be sent?

  • Current employees can consent to electronic delivery through Dayforce. Once electronic delivery has been chosen, no paper forms will be produced. Once electronic delivery has been chosen, you continue to have access to current and historic W-2s unless you withdraw your consent.
  • For employees who have not consented to electronic delivery, a paper copy of the W-2 will be forwarded via first class U.S. mail by January 31.
  • All former University employees will receive a paper form delivered via first class U.S. mail to the most current address on file.

When will this form be available?

All forms will be released or postmarked by January 31.

Why are my wages, tips, and other compensation (Box 1) different than my Social Security (Box 3) and Medicare (Box 5) wages?

Pre-tax benefits that are covered under IRC Section 125 are non-taxable thus reflecting a different total. 

The following are common reasons that the amounts reported in Boxes 1, 3, and 5 may differ:

  • Students are exempt from contributing to Medicare and Social Security during their time of study. Students will need to register for at least 6 hours as an undergraduate and 3 hours as a graduate to qualify for this exemption.
  • 403(b) before-tax contributions are tax deferred for federal and state/city income tax purposes, and therefore, are not included in the amounts reported as federal taxable wages and state taxable wages. These amounts are, however, reported as Social Security and Medicare wages. Therefore, you will see a larger amount reported in Social Security and Medicare wages than in state/city and federal taxable wages.
  • Social Security wages are limited to $160,200 for the calendar year 2023.

What if my name and/or Social Security number is incorrect on my W-2?

The Payroll office will correct and reissue your W-2. Corrected W-2s are called W-2c and are processed after W-2s are released. If you find your name and/or Social Security number is incorrect, please contact  Tax Forms as quickly as possible. You will be contacted when a correct W-2c is available for you.

What if the wrong address is listed on my W-2?

If the wrong address is listed on your W-2, a corrected copy will not be created or distributed. Please update your address information using the Update Your Name and Address task in the myCU portal.

What if I need a replacement?

Employees can either consent to electronic viewing of the document via Dayforce or contact Tax Forms to request a duplicate copy.

I am a parent. Can I receive a copy of my child's W-2 Form?

No, due to the Privacy Act of 1974, only current or former employees may request a copy of their W-2.

1095-C

What is a 1095-C?

Form 1095-C includes information about the health insurance coverage offered to you by Cedarville. Form 1095-C Part II includes information about the coverage, if any, the University offered to you, your spouse and dependent(s). Part III lists the covered individuals.

Who receives this form?

All full-time employees of Cedarville for one or more months within a calendar year.

How will this form be sent?

  • Current employees can consent to electronic delivery through the Dayforce portal. Once electronic delivery has been elected, no paper forms will be produced. You will have access to current and historic 1095-Cs unless you withdraw your consent.
  • For employees who have not consented to electronic delivery, a paper copy will be forwarded via first class U.S. mail by January 31. 
  • All former University employees will receive a paper form delivered via first class U.S. mail to the most current address on file.

What if my name or the name of my dependent(s) and Social Security Number is incorrect?

If you find your name and/or Social Security number is incorrect or your dependent(s), please contact Tax Forms as quickly as possible. Human Resources will correct and reissue your 1095-C. You will be contacted when the correct 1095-C is available for you.

Student Related Tax Forms

Students will receive the 1098-T for tuition payments, in addition to any employment related tax forms, electronically.

What is a 1098-T for?

The 1098-T is a form designed by the Internal Revenue Service (IRS) for educational institutions to report payments for qualified tuition and fees, scholarships, and grants.

Who receives this form?

All students enrolled in credit courses at Cedarville, with the exception of College Credit Plus program through the state, will receive a 1098-T. This includes Family Pay Option Dual Enrollment students and undergraduate and graduate students

How will this form be sent?

  • All current students have access to current and historic 1098-Ts through myCU.
  • Former students will receive a paper form sent through first class U.S. mail to the most current address on file. Former students who consented to electronic delivery through myCU will continue to have access to current and historic 1098-Ts unless they withdraw their consent. 

When will this form be available?

All forms will be released or postmarked by January 31.

What if I need a replacement?

Students can either consent to electronic viewing of the document via the View and Print Tax Documents – Students task in myCU or contact Tax Forms to request a duplicate copy.

What changes have occurred with the 1098-T form?

Starting January 1, 2018, the IRS required Cedarville to begin reporting amounts paid instead of amounts billed for qualified charges. Box 1 will show amounts paid for eligible charges less any refunds. This includes scholarships, other financial aid and out of pocket payments.

If I pay for my Spring semester charges in December, what year will this show on my 1098-T?

Since Cedarville’s first payment due date is in the same year that the term occurs, any payments made in December will be on next year’s 1098-T.

What are considered "qualified" or "eligible" charges?

Eligible or qualified charges are any tuition charges, laboratory fees, graduation fees and enrollment fees. All other charges to your student account, including room and board, are not considered eligible charges.

What does an amount in Box 5 mean?

Box 5, Scholarships and Grants, communicates the net amount of certain forms of educational assistance that was received or applied to your student account between January 1 and December 31 of each calendar year, regardless of the term that funds may have originally be designated for.

My name and/or Social Security number are incorrect on my 1098-T? How can I have this corrected?

If your name and/or Social Security number are incorrect, please contact Tax Forms as quickly as possible. A corrected form will need to be processed; you will be contacted when it is available to you.

I am a parent. Can I receive a copy of my child's 1098-T form?

Individuals granted access to Parent Access through Manage Privacy Settings can view their student's tax form through myCU. Parents not granted access will not be able to receive the form through the University. Please note that the 1098-T form is available to parents, whereas employment-related tax forms will not be available through Parent Access. Students must make all information requests.
