Google Apps: Instructions for Mobile Devices

If you would like to use Google Apps on your mobile device, you will want to set up Google's 2-Step Verification service to improve your ability to access the Apps even when your CedarNet password changes. 

2-Step Verification is strictly a Google protocol and is not to be confused with DUO Two-Factor Authentication, a security method that Cedarville adopted to further protect your University email account.

Part I: Set up your Google Account for 2-Step Verification

The first part of this process begins on the computer. 

  1. Log in to your Cedarville Google Mail account (cedarville.edu/google).
  2. In the upper-right corner, click your avatar displayed by either your email address, your photo, or the default avatar Google Avatar .
  3. Click [My Account] > Select "Sign-in and Security".
  4. Choose one of the following options:
    • If you have previously set up 2-step verification, select "App passwords" under the "Signing in to Google" section and skip to step 17.
    • If you have not previously set up 2-step verification, click "2-step Verification" > Click [Start setup].
  5. If prompted, enter your CedarNet login credentials > Click [Login].
  6. Enter a phone number (can be your cell, office phone, or home phone, depending on what is available) and select whether you would like a "Text message" or a "Phone call" to receive the verification code from Google (the number you enter will become associated with your account, so you should not use a number that you will not have access to in the future) > Click [Try it]. 
  7. Once you receive the verification code, enter it into the appropriate field, and then click [Verify].
  8. If you are on your office or personal computer, check the box next to "Trust this computer" > Click [Next].
  9. Click [Confirm] to indicate that you want to turn on 2-step verification. You will then be navigated to the 2-step verification page. 
  10. Select "App-specific passwords" (the second tab at the top of the page).
  11. Click [Manage application-specific passwords] towards the bottom of the page. 
  12. If prompted, provide a backup phone number or skip this step by selecting "Remind me later" at the bottom of the page. 
  13. Click the left drop-down menu and select which app you would like to set a specific password for > Click the right drop-down menu > Select which device type you will use to access the app > Click [Generate]. Google will generate a randomized, 16-character password for you. You will need this password in Part II. Do NOT click [Done] yet. 
  14. Follow the instructions in Part II to set up the device. Once you are finished, you can easily set up an additional device-specific password for another device by clicking [Generate] again. Each password can only be used for one device.

Part II: iOS (iPad, iPhone, iPod Touch) Device Set Up

There are two options to set up an iOS device, each with its own pros and cons. Before you complete one of these options, ensure that you have connected the device to the "cu-secure" wireless network.

Option 1 - Exchange Setup (Recommended):

Using this setup, you will be able to see your contacts, email, and calendar even without an Internet (Wi-Fi or 3G) connection. However, you won’t be able to receive or send emails or see any updates to your calendar until the device connects to the Internet (Wi-Fi or 3G) again.

To setup tour Exchange account: 

  1. On your iOS device, open the [Settings] app.
  2. Tap [Mail] > Select "Accounts" > Select "Add Account" > Select "Exchange" (The Google option would work, but it would not synchronize your contacts).
  3. In the "Email" field, enter your Cedarville email address.
  4. In the "Password" field, enter the generated password from Part I of this help page.
  5. In the “Description” field, enter a descriptive name for your account (This is the name you will see for the account so you may want to include “exchange” in the name).
  6. In the upper-right corner, tap [Next].
  7. In the “Server” field, enter “m.google.com” (without quotation marks). 
  8. Leave the “Domain” field blank.
  9. In the "Username" field, enter your Cedarville email address.
  10. In the "Password" field, re-enter the 16-character generated password from Part l of this help page > In the upper-right corner, tap [Next]. Your iOS device will then verify your information and present you with a page of options to synchronize.
  11. In the upper-right corner, tap [Save] to complete the process. You should receive the synced emails within a few minutes.

To sync shared Google Calendars with the iOS device through Exchange:

  1. On your iOS device, open the [Safari] app.
  2. Navigate to  https://m.google.com/sync/settings/iconfig/chooseCalendars.
  3. Log in with your CedarNet username and password.
  4. Select which calendars you would like to sync.

To ensure your Google Calendars and Contacts synced to your device:

  1. On your iOS device, open the [Settings] app
  2. Tap [Mail] > Select "Accounts" > Select your exchange account name. 
  3. Make sure that “Calendars” and “Contacts” are marked as “ON.” If they are not, toggle the “OFF” button so that it slides to “ON.”
  4. Tap the [Home] button to save the settings.

To increase the amount of days your iOS device syncs Google Mail from:

  1. On your iOS device, open the [Settings] app
  2. Tap [Mail] > Select your exchange account name > Select “Accounts" > Select the name of your exchange connection.
  3. In the resulting window, select “Mail Days to Sync” > Choose the number of days (up to 1 month, or “No Limit” on iPad and iPhone).
  4. Tap the [Home] button to save the settings.

Note:

If the device does not begin to synchronize, check to make sure that it is connected to the Internet. The device must be connected to the Internet before it can sync.

Warning

If you made too many mistakes in Part II, Google may lock you out of your account for applying too many wrong settings. To fix this problem, you’ll need to go to the following URL and complete the instructions there: https://accounts.google.com/unlockcaptcha.

This will unlock your account for ten minutes during which you can try again to set up your account. If you successfully set up the account, it will remain unlocked. If you fail to set up your account in the allotted time, you can repeat this step to unlock your account for an additional 10 minutes.

Option 2 - iOS Google App:

From the app’s homepage, you can access all the Google Apps, including Google Drive, but only while you are connected to the Internet. You will not be able to use the app at all while you are not connected to the Internet (3G and Wi-Fi).

The “Gmail” app setup is identical to the “Google” app setup, but it does not allow you to access the Calendar, Drive, or any of the other Google services that are available through the “Google” app.

  1. On your device, open the [App Store] app. 
  2. In the search box, search for “Google.”
  3. Install the Google app from the Apple App Store.
  4. Once installed, open the [Google] app and log in using your Cedarville email and password. 
  5. Tap [Continue] and Google will redirect you to the Cedarville Google Mail login page.
  6. Log in with your CedarNet username and password and you will be directed to Google.

Part II: Android Device Set Up

Before you complete one of these options, ensure that you have connected the device to the "cu-secure" wireless network.

Note:

Android devices vary greatly, so instructions may differ slightly for different devices. 

  1. On your Android device, go to "Settings."
  2. In the settings menu, go to "Accounts."
  3. Touch [+Add] or [+Add Account].
  4. From the list, select "Google" or "Gmail."
  5. Tap "Existing" or "Existing Account."
  6. In the "Email" field, enter your full Cedarville email address (including @cedarville.edu).
  7. In the "Password field", enter the password that Google generated for you in Part I of this help page.
  8. Tap the right arrow or "Next" to proceed to the next page.
  9. In a few minutes, a list will appear of everything that will sync to the Android device. Choose the options you would like available to you with this account. You can always edit these settings from Settings > Accounts & sync > Cedarville Google account on the device.
  10. In a few minutes, your device should receive the synced emails and calendar events.

Note:

If the phone or tablet does not synchronize, check to make sure that the device is connected to the Internet by using the device's mobile browser to navigate to a website outside of Cedarville's network. The synchronization will not work if the device is not connected to the Internet.

Cedarville Google Apps offers some additional services for Android devices like the ability to find the device if you lose it, the ability to completely wipe the device remotely, and the ability to make the device ring, all from inside your browser.

Follow the instructions below to activate these Google Android services on your device after you have completed the above instructions:

  1. On the Android device, sign in to the Google Play Store and search for “Device Policy.”
  2. Install the "Google Apps Device Policy" app.
  3. Once installed, open the app. If not already displayed at the top of the screen, select your Cedarville email address from the drop-down menu.
  4. Tap [Next] > Tap [Activate]. The device will then warn you of the policies that you are about to activate.
  5. Tap [Enforce]. The device will talk to Google’s servers, and you’ll get confirmation that it is working or that the device was successfully synced.
  6. You can now access Google's Android services on your computer by opening a browser and navigating to http://www.google.com/apps/mydevices.

Part II: Windows Phone 7.5 Device Set Up

  1. Make sure your Windows phone is booted up and then navigate to “Settings.”
  2. Find “email+accounts” and touch to open the accounts list.
  3. Tap “add an account” > "Outlook."
  4. Enter your entire Cedarville email address (including @cedarville.edu) and the 16-character password from Part I.
  5. Ensure that “Server requires SSL connection” is checked.
  6. Tap "sign in."
  7. Under “Username” enter your entire Cedarville email address (including @cedarville.edu).
  8. Under “Domain” enter “cedarville.edu.”
  9. Under “Server” enter “m.google.com.”
  10. Tap [Sign In].

Your email should start to download in a few minutes.

Note:

If the phone or tablet does not begin to synchronize, check to make sure that the device is connected to the Internet by using the device's mobile browser to navigate to a website outside of Cedarville's network. The synchronization will not work if the device is not connected to the Internet.
