Google Mail: Delay Delivery

Before you start…

Google Mail does not have an option to delay delivery. However, there is a plugin called “Boomerang for Gmail” that will allow you to compose an email and then schedule it to be sent later.

The Basic, free subscription allows you to send 10 delayed messages per month. You will not have access to Boomerang Notes, Boomerang Mobile, or Recurring Messages. There is the Professional, unlimited subscription for a monthly fee. You can find your account information under the Boomerang drop-down in your Google Mail window.

Note:

Boomerang for Gmail does not work in Internet Explorer. Information Technology recommends using Google Chrome as features of Google Apps work best or only with Google Chrome.

To install Boomerang for Gmail

  1. Navigate to www.boomeranggmail.com.
  2. Click the [Install Boomerang] button.
  3. Click [Add].
  4. Your Google Mail will open, and you will be prompted to take a tour of Boomerang. Click [Start] to take the tour or [Skip].

To send later

  1. Click [Compose].
  2. Complete the email as you usually would, including any recipient(s).
  3. Click the Boomerang [Send Later] button.
  4. Choose when you would like the message to send. If none of the default options apply, click the mini-calendar icon under “At a specific time.” Choose the date from the calendar. The default time will be 12:00 AM on that day. Click in the box and add a time if you want to specify another time. Check the summary under the text box and then click [Confirm].
  5. Once you choose an option or [Confirm] a specific time, Boomerang will process the message.
  6. A banner will confirm that “Your message will be sent” and when.
  7. In the top right of your Google Mail screen, click the “Boomerang” drop-down.

To manage scheduled messages

To view, edit, or delete your scheduled messages, follow these steps:

  1. In Google Mail, click the “Boomerang” drop-down in the upper right-hand corner of your window.
  2. Click “Manage scheduled messages” in the resulting list. The first time that you choose this option, you will need to [Allow] Boomerang to have access to your account.
  3. Click the [Messages to Send Later] tab to see a list of your scheduled delayed messages. If you have a Professional subscription, you will also see a list of your Recurring Messages here.

To reschedule a message:

  1. Within the [Messages to Send Later] tab, click the message that you would like to reschedule.  
  2. Click the “Reschedule” link.
  3. A “Reschedule This Message” box will open. Enter the new date and time in the provided field. Use the “Preview:” to check the information.
  4. Click [Confirm].

To delete a message:

  1. Within the [Messages to Send Later] tab, click the message that you would like to delete.
  2. Click the “Don’t Send” link. Your message will be canceled and automatically removed from your list.

To edit a message:

  1. Editing the message allows you to edit all of the information (add or remove a recipient, change the body text of the email, change the subject, reschedule the email, etc.).
  2. Within the [Messages to Send Later] tab, click the message that you would like to edit.
  3. Click the “Edit” link. The compose window for your message will open.
  4. Edit the email as desired.
  5. Note the warning that you must schedule the message again, or it will not be sent. If you try to close the tab without rescheduling the message, you will receive a pop-up warning you that leaving the page without rescheduling will cancel sending and leave the message in your Drafts.
  6. Click the [Send Later] button and schedule your message.

Response Tracking

Response Tracking is another feature that Boomerang provides. You can use this feature to have Boomerang remind you to follow up with a message if you do not hear back within a certain timeframe.

  1. In Google Mail, click the [Compose] button.
  2. Compose your message as usual, including entering your recipient(s) in the To field.
  3. Check the box next to “Boomerang this message… if I don’t hear back.” You can also choose even if someone replies from the drop-down.
  4. Click [in 1 week] and choose the timeframe from the list.
  5. Click [Send]. If the recipient(s) doesn’t reply within the timeframe, you will receive a copy of the message in your Inbox to remind you to follow up.

Recurring Messages

This option is only available in the Professional Subscription. To schedule a recurring message, follow these steps:

  1. In Google Mail, click the [Compose] button.
  2. Compose your message as usual, including entering your recipient(s) in the To field.
  3. Click the [Send Later] button and choose “Schedule recurring message” from the list.
  4. In the “Schedule a recurring message” box, choose the start date by clicking on the mini-calendar. Enter the “Send Time:” in the appropriate field. Choose how often the message will repeat from the “Repeats” dropdown. Choose the days by checking the boxes next to “On.” Choose an end date if desired.
  5. Preview the schedule in the “Summary:” and then click [Schedule].

Notes

You cannot add Boomerang Notes in Google Apps unless you have a Professional Boomerang subscription. For a demo of how to add notes with Boomerang, you can watch this video.

Boomerang Mobile
