Groupwise: Use GroupWise Categories

Before you start…

You can differentiate email messages, tasks, appointments, and reminders within the GroupWise email system by assigning a "Category" to the item.

Default Categories and Colors

The default categories and associated colors are listed below. These are the only colors that will display in a recipient's mailbox when you send them an email.

  • Follow Up - Orange
  • Low Priority - Gray
  • Personal - Blue
  • Urgent - Red

Create or Remove a Category

You may create custom categories/colors for any number of tasks, such as department correspondence, special projects, or items related to specific people. Custom category colors will only display in your GroupWise mailbox.

Create a Category

  1. Open GroupWise.
  2. Click "Actions" from the menu toolbar > Select “Categories” > Choose “More...”
    Or
    Right-click the name of the email sender > Select “Categories” > Choose “More...”
  3. Type a name for your new category in the "New Category:" text box.
  4. Click [Add] > Click [OK].

Remove a Category

  1. Repeat Steps 1-2.
  2. Click to highlight the category you want to remove.
  3. Click [Delete] > [Yes].

Change or Remove Category Colors

Change the Color of a Category

  1. Open GroupWise.
  2. Right-click the name of the email sender.
  3. From the drop-down menu, select "Categories" > "More...."
  4. Click to highlight the category for which you want to change the color.
  5. To edit the [Text] color and/or the [Background] color, click the associated button and choose a color from the available options.
  6. Click [OK].

Remove Color

  1. Open GroupWise.
  2. Right-click the name of the email sender.
  3. From the drop-down menu, select "Categories" > "More...."
  4. Click to highlight the category for which you want to remove the color.
  5. Click the "Text" drop-down box > Select "No Fill."
  6. Click the "Background" drop-down box > Select "No Fill."

Assign a Category to an Existing Item

  1. Open GroupWise
  2. Right-click the item (e.g., an existing email, appointment, reminder note, or task).
  3. Select "Categories."
  4. Choose a category from the list or click "More...."
  5. If you selected "More...," click the checkbox beside the desired category.
  6. Click [OK].

Assign a Category to a New Item

Information Technology does not recommend assigning categories to email messages that you send to other people on campus. Some GroupWise users sort their mailbox by category, causing your email to get lost in their inbox. Colors assigned to your custom categories will not show up in the inboxes of other GroupWise users.

  1. Open GroupWise.
  2. Create a new item ("File" > "New" > Choose either Mail, Appointment, Task, or Reminder Note).
  3. Click the "Send Options" tab.
  4. Select [General] > [Edit Categories].
  5. Check the desired category box.
  6. You can assign more than one category, but the [Primary] category (if you have set one) determines the item color.
  7. Click [OK].
  8. Click the item tab (labeled Mail, Appointment, Task, or Reminder Note) to return to your item.

Sort by Categories

To sort by category in either your "Mailbox," "Sent Items," or any other folder, you will need to add a column for categories.
