Procedures For Requesting Reasonable Accommodation for Disability-Related Needs

Excluding requests for service animals under ADA

The living and learning environment at Cedarville University is central to the overall experience of our students. It is a general expectation as part of the university experience that students will live with a roommate and share restroom facilities with other students in the residence hall. Living within the residence halls and learning to share space and be considerate of others is part of the community living and learning experience at CU. Exceptions to this policy are considered only in extraordinary cases. As with all disability accommodation requests, housing requests are considered on a case-by-case basis according to the barriers encountered by the student and the student’s need for access. A disability diagnosis does not, in and of itself, qualify a student for housing accommodation.

Application:

Housing accommodation requests should be submitted to Disability Services by completing the electronic application found at www.cedarville.edu/disabilities and uploading professional third-party documentation to the application. Requests and documentation should be submitted BEFORE the housing selection process opens to the general student population in mid-April. If the request for housing accommodation is submitted after the residence hall selection process is underway, Cedarville University cannot guarantee that the individual’s accommodation needs will be met. Should the need for a housing accommodation arise when the student is already residing in a residence hall, the student should contact Disability Services for discussion, with the understanding that CU cannot guarantee that the accommodation needs will be met during the academic year in which the request is received.

Documentation Requirements:

Documentation should be a narrative written by the student’s provider that establishes the current functional impact of the student’s disability diagnosis, addresses the barriers encountered by the student, and justifies the need for the housing request. There must be sufficient evidence and explanation to clearly identify how the housing request relates to the current impact of the student’s condition. The provider’s contact information/address, certification or license number, the date, and provider’s signature must be included in the documentation.

Cedarville University will make every attempt to respond in writing to reasonable housing accommodation requests within 15 business days of receiving the application and documentation.

When reviewing disability-related housing requests, consideration is given to the following questions:

  • Is there is an established history of the identified need?
  • If the request is not met, would there be a permanent negative health impact?
  • Is documentation from a reliable third party and complete according to requirements?
  • Is space available in the residence hall to meet the request?
  • Is there is a direct nexus between the request and the identified need?
  • Was the request made by the recommended deadline?
  • Is the expressed need a crucial part of the student’s treatment plan as established by a medical professional?
  • How does meeting this request impact housing commitments to other students?
  • Will any students be adversely affected by the requested configuration?
  • Is there is an effective alternative that would achieve a similar outcome to the requested accommodation?
